How we handle personal information.

01Basic policy

We collect personal information only where there is a clear business reason, use it only for the purposes stated below, and keep it no longer than those purposes require. We do not sell personal information, and we do not use it for advertising profiling.

Everyone at AGAMI who handles personal information is bound by these rules, and the same obligations are imposed by contract on any external party we work with.

03What we collect

We collect personal information only when you choose to give it to us. Depending on which form you use, this may include:

• Name, company or organisation name, role or department
• Work email address, telephone number, or other contact details you provide
• Country or region
• The content of your enquiry, including any description of your project
• Your answers to the self-check, where you choose to submit them with an email address

We ask that you do not include confidential technical or commercial details in a first enquiry. Where a project requires them, we will arrange a non-disclosure agreement first.

04Why we use it

We use personal information for the following purposes, and no others:

• To review your enquiry and reply to it
• To assess whether a project is a fit, and to prepare a proposal or quotation
• To carry out and administer work you have engaged us for, including contracts, invoicing, and support
• To send the sample report, case study, or other material you have specifically requested
• To send occasional updates about our work, where you have separately agreed to receive them
• To meet legal, accounting, and tax obligations

If we ever need to use your information for a purpose not listed here, we will ask you first.

05Providing information to third parties

We do not provide personal information to third parties without your consent, except where APPI permits or requires it — for example, where disclosure is required by law, or is necessary to protect someone's life or safety and obtaining consent is not practicable.

06Outsourcing

We use external service providers for functions such as email, file storage, and website hosting, and we assemble project-specific teams that may include external specialists. Where this involves handling personal information, we select providers and collaborators appropriately, limit them to what the work requires, and impose confidentiality obligations by contract. We supervise them for the duration of the engagement.

07Transfers outside Japan

Some of the service providers and project specialists we work with are located outside Japan. Where personal information is transferred to a third party in a foreign country, we do so in accordance with APPI, taking the measures required for such transfers and providing information about the destination on request.

08How we protect it

We take reasonable and appropriate measures to prevent leakage, loss, or damage to personal information, including:

• Limiting access to those who need it for the work in hand
• Access control on the systems where information is stored, including authentication
• Encryption of data in transit
• Contractual confidentiality obligations on employees and external collaborators
• Deleting or returning information once the purpose for holding it has been met

This website does not use cookies to identify individual visitors. Where access analysis is used, it collects aggregate usage information and does not identify you personally. You can disable cookies in your browser settings; the site remains usable if you do.

10Your rights

Under APPI you may ask us to disclose, correct, add to, delete, or stop using the personal information we hold about you, and to stop providing it to third parties. You may also ask us to tell you the purposes for which we hold it.

To make a request, contact us through the enquiry form and describe what you would like us to do. We will verify that the request comes from you or an authorised representative before acting on it, and we will respond within a reasonable period. There is no charge for making a request.

If we are unable to act on a request — for example, where doing so would breach another law — we will tell you why.

11Withdrawing consent

Where you have agreed to receive updates from us, you can withdraw that consent at any time, either by using the unsubscribe option in the message or by contacting us through the enquiry form. Withdrawing consent does not affect our ability to reply to an enquiry you have already made.
